Product spec sheet import guide

A guide for importing technical spec sheets into B2B product drafts while preserving accuracy and buyer comparison value.

# Product spec sheet import guide

Spec sheets are some of the best source material for B2B product pages. They contain the facts buyers compare: dimensions, material, model number, capacity, voltage, compatibility, tolerances, packaging, drawings, and documents. But spec sheets are often too technical to publish directly.

The import job is to preserve accuracy while making the information easier for buyers to evaluate.

Keep model numbers exact

Model numbers should never be rewritten for style. If the spec sheet uses a hyphen, suffix, voltage code, size code, or revision marker, preserve it. A small change can create compatibility or ordering mistakes.

If several models appear in one sheet, decide whether they are variants of one listing or separate products. The decision should follow buyer logic, not only internal catalog structure.

Normalize units without losing the source

Spec sheets often use mixed units. The buyer-facing listing should be readable, but the original unit should not be lost. If a field is converted, keep the meaning clear. For example, dimensions, weight, pressure, capacity, voltage, and tolerance should include units and avoid rounding that changes buyer decisions.

When in doubt, preserve the source value and add a normalized value only after seller confirmation.

Separate specs from claims

A specification is a factual field. A claim is a promise or interpretation. For example, material thickness is a spec; "premium durability" is a claim. The import should keep these separate. Specs belong in tables. Claims should be reviewed and supported before publication.

This makes the listing more useful and reduces risk.

Attach supporting documents

Some products need drawings, installation sheets, certificates, test reports, or safety documents. These should not be flattened into description text. Attach them as documents or reference them clearly so buyers know what is available.

Spec sheet import works best when the product page becomes a structured summary with access to deeper documents when needed.
